Clearwater Communications is proud to have been appointed as the Professional Conference Organizer for WSBE17 Hong Kong and has been tasked with conceptualizing marketing and promotions plan for the entire campaign, sponsorship, and exhibition promotion and management, event planning and execution.

Day one of the three-day long event brought together VIPs, local and overseas speakers and delegates to join in on this remarkable inaugural opening of this world event. The opening ceremony took place in the Convention Hall of the Hong Kong Convention and Exhibition Centre with over 1,800 delegates, who witnessed key players in the industry kick off the first largest sustainable conference. Following the opening, the next three days focused on a main conference, Exhibition, a Gala Dinner and Post-event Tours.

The main conference gathered over 450 speakers, comprising of Keynote speeches, engaging Plenary and Roundtable Sessions and over 100+ sessions in 14 breakout rooms which all took place throughout the day in various areas of the venue The Exhibition was a platform for the green building market to source, network, learn and collaborate. Alongside the Exhibition, was the International Youth Competition, a competition inviting teams to present their ideas that best demonstrate an innovative interpretation of the Conference theme. CwC played a significant role in liaising with all exhibitors, sponsors and vendors in creating an open and inviting space that was conducive to the venue layout and satisfied all party’s requirements.

The Gala Dinner was attended by top leaders from the Government, property developers, architects, consultancies and other key industries to network and celebrate the achievements of green and sustainable developments globally. With only a limited time for move in, CwC worked swiftly and efficiently with vendors to completely turnaround the venue for a 400+ attendee dinner.

WSBE17 Hong Kong concluded with a closing ceremony that announced the next hosting country for WSBE20 and while the main conference came to an end, CwC continued with the organization of the Green Building Technical Visits and Eco Tours that took place on Hong Kong Island, New Territories and Shenzhen. Transfers, F&B and Tours were arranged for participants for a full-day itinerary.

The pre-event planning stages determined how the on-site execution would unfold and to help ensure the minimization of any oversights, CwC managed over 80 volunteers and temp staff to assist in designated areas of the venue. It was crucial for all working departments to keep an open communication and have status reports on an ongoing basis, to avoid any possible conflicts onsite.

With a large-scale event such as WSBE17 Hong Kong, CwC adopted a horizontal organizational structure where each team member became a PIC for a certain department. This structure was crucial to the organization and planning. In addition to pre-event planning, CwC sought out to create thorough action plans that advised all parties of the necessary contingency plans in the case of any internal/external conflicts.

The teamwork that went into an event of this scale proved to be invaluable as it made collaboration between all parties more harmonious and of course, enjoyable!
